Greet the new enquiries that come in person or on calls and make the records of those inquiries in a manual file and report it to me or to other staff.
Take the follow ups of regular enquiries, give the walk-ins visitors estimated time of waiting, inform me or other staff about their waiting outside, keep the positive and interactive talk alive with visitors until the staff come out and meet them.
Also store those enquiry files in computerized excel and compile the data, keep the front desk tidy and well organized.
Collect the weekly learning schedule from learners, keep the records of that, keep the staff well informed about the learners schedule so that I can arrange learning session accordingly and must inform me any last moment changes applied by learners or visitors in meeting time.
Explain the courses in details to visitors and also give them brochures upon arrival and order a new brochures stock with necessary updates added up.
Always keep the print outs ready of reading, speaking, listening and writing module before session begins and give it to the staff and learners.
Keep the records of paid fees and pending fees to come in upcoming week, prepare the receipts of paid fees to be given to learners. Also direct the learners and visitors to appropriate staff or to me for further counselling.
Keep the evaluated answer sheet on front desk and give it to learners before the session begins, call the learners or visitors and remind them appointments.
Order the necessary materials and office supply, maintain the inventory, check the mails and messages and respond those mails and messages as promptly as possible.
Make the invoices, presentations, publications, and related materials online and hand written copy.
Schedule the meeting time, update to me and other staff about the confirmation of meeting time, build up the good office procedures.
