As Administrative Assistant within a team-oriented professional environment in the architectural/construction industry, you will:
-Receive telephone calls, respond to enquiries and relay messages.
-Welcome walk-in visitors and clients; coordinate the front counter including courier, mail and pick up/deliveries
-Provide strong administrative and word processing support; prepare correspondence, specifications, price requests, inspection reports and proposals.
-File documents and provide general office support including coordinating meeting appointments, purchasing office supplies, arranging equipment servicing/leases and general tidying of the front office and boardroom.
-The opportunity exists in future, depending upon workload, to
-Develop/maintain an effective and up to date project database;
-Use desktop publishing to create documents, proposals and reports.
Office Manager/Accounting support
-Be willing to learn and support the Office Manager in carrying out the accounting and office manager responsibilities. Initially, this will be data entry of A/P, A/R, deposits, etc. and will expand over time to eventually assume the Office Managers role upon retirement.
Display a positive, professional attitude and provide exceptional customer service, both within the company and with external clients/contacts at all times. Maintain a high level of confidentiality.
