Provide administrative support to ensure the smooth & effective operation of the area, playing an integral role in supporting the department & facilitating the achievement of departmental & corporate goals.
DUTIES & RESPONSIBILITIES
-Work closely with key individuals to provide administrative support & coordination to the department for team & project initiatives, as well as day to day operations
-Develop & maintain departmental correspondence and reports
-Update & maintain project documentation such as: work plans, progress updates, scope documents, action items & communication & change management plans
-Prepare meeting agendas, take minutes & follow up as directed on assigned action items to ensure deadlines are met
-Make travel & course/conference registration arrangements, including managing payments, invoices & expenses
-Support change & participate in identifying & finding solutions Assist in the management of both technical & process related changes in the department
-Support the communication of business goals, quality standards, processes, procedures & policies
QUALIFICATIONS & SKILLS
-Completion of a post-secondary diploma or certificate program in a related field & a minimum of two years previous experience in a similar role or an equivalent combination of training & experience
-Previous experience in project administration &/or familiarity with Microsoft Project would be considered an asset
-Previous experience in the insurance industry, or with the administration of group plans would be considered an asset
-Demonstrated proficiency in Microsoft Word, Excel & PowerPoint, (i.e. creating charts, graphs, etc.) with a proven ability to easily learn new software programs
-Demonstrated professional interpersonal & communication skills, both written & verbal
-Ability to manage multiple competing priorities & frequent deadlines with a high degree of accuracy & attention to detail
