Description

The Contracts Admin Assistant (reports to the Contracts Procurement Manager) is responsible for filing, recording meeting minutes, reporting and performing general administrative and clerical duties in a courteous and professional manner.
The Contracts Admin Assistant will demonstrate DMC's core values of: Zero Harm to health, safety and the environment, win-win relationships based on shared risk and rewards as well as investing in the growth and development of our people.
SPECIFIC DUTIES AND RESPONSIBILITIES
1. Ensures completion of all necessary paper work related to tracking Labour Equipment Materials (LEMs) for our subcontractors
2. Auditing invoicing from subcontractors
3. Ensuring proper routing and authorization of documents
4. Maintain supplier and subcontractor information, including but not limited to insurance, WCB and general company information
5. Record meeting minutes with subcontractors
6. Assist with putting together contract close-out packages
7. Assist with the preparation of bid and contract documents
8. Provide detailed reporting as requested
9. Assist with the development of tools for tracking and managing contracts
10. Ensure all contract documents are complete and filed
11. Takes responsibility for aspects of occupational health and safety, and environmental matters, over which the individual has control
12. Demonstrates commitment to the continued improvement of Occupational Health, Safety and Environment
13. Such other duties as may be assigned from time to time
QUALIFICATIONS, SKILLS AND KNOWLEDGE
- General knowledge of Supply Chain and Contracts
- High School Diploma
- Valid driver's licence
- A minimum of 3 years of experience with similar roles and responsibilities
- Good written and oral communication skills
- Intermediate level knowledge of Microsoft office and Excel
- Excellent interpersonal skills
