The Administrative Assistant provides confidential, administrative assistance and support primarily to Distribution Services Manager and the department team members, along with building security and support to all Concentra departments with efficient and cost effective delivery of distribution-related products and services.
Key Outcomes:
- Assist in weekly and monthly reconciliation preparation for external and internal stationery, promotion items, courier, meter machine postage
- Maintenance of written department procedural manuals for Reception area and mail room
- Sort and process daily GIC, RRSP, RRIF and TFSA deposit mail-outs, ensuring compliance with policy, procedure and legislation
- Main contact support for outside and internal clients, directing traffic, tracking of security cards issued
- Admin support to Facility Services by composing rough draft correspondence into professional end-product
- Support to DS mail team by assisting in preparing and processing incoming and outgoing mail
- Support to all departments and product areas within company through mail pricing options
Qualifications:
- Post-secondary education (e.g. diploma or certificate) in business/office administration
- 1-2 years experience performing general administrative support to an individual or work unit and/or distribution services in a fast paced diverse and professional office environment
- Experience utilizing/operating mass mail out equipment and software associated is considered an asset as is operational experience in the financial industry
- An equivalent combination of education and experience will be considered
