We currently have an exciting opportunity for an Administrative Assistant, Reports Coordinator located at our KSPC Legacy project site near Bethune, Saskatchewan. The successful candidate must be willing to work a rotation based schedule. You will have the opportunity to work alongside other team members locally and provide support on a major project. Key Responsibilities
Providing general administrative assistance to the Project Controls Manager and team
Coordinating monthly and/or weekly report reminders, following-up on submissions, drafting reports for review, and distribution of monthly/weekly reports
Preparing and distributing minutes of Project Controls meetings as directed by the Project Controls Manager
Coordinating project related travel for Project Controls personnel
Updating and monitoring of Project Controls team rotation/vacation schedule
Archiving hard copy and electronic files at end of project and assisting with validation and close-out of project
Developing and maintaining project calendar, issuing meeting planners and scheduling the use of meeting facilities and compilation and distribution of weekly man hour reports
Assisting with change management work flow
Reviewing and coordination of all staff travel authorizations and staff expense reports, assisting with coordination of Project Assignment Authorizations (PAAs) and HR related documentation for project staffing
Role Requirements
Minimum of 5 years experience in administrative roles
Diploma and additional business and/or computer courses
Experience in an technical engineering environment would be considered an asset
Fully proficient in MS Office suite of software applications
Exceptional interpersonal and communication skills
Excellent organizational skills, ability to multi-task
