Under the supervision and direction of the Maintenance Scheduler, this position will be responsible for assisting the Maintenance Scheduler with administration for the Facilities Management team.
Assist mainly the Maintenance Scheduler with administrative tasks;
Prepare, track and coordinate financial documents related to projects while adhering to company processes;
Creation of high-level presentations, spreadsheets and documents for different instances of OlySky;
Coordinate resources, accommodations and travel for field team;
Compile maintenance related feedback and data from barns;
Assist in development, maintenance and administration of a contractor database and assist with tendering projects;
Participation in the development and organization of Facilities Management activities including liaising with contractors, barn managers and field team;
Other duties as required.
Administration certificate or equivalent training;
Entry level relevant experience in a similar position;
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
Knowledge of Microsoft Project (asset);
Organized, methodical, discrete and professional in the performance of all functions;
Demonstrates a high degree of autonomy, initiative and interpersonal skills;
Demonstrates courtesy and tact;
Ability to work under pressure and manage multiple files simultaneously;
Excellent communication and organizational skills;
High availability as needed.
