Compiles, troubleshoots, verifies information with appropriate Site Crew Supervisor and enters appropriate job cost coding for all labour on a daily basis.
Communicates with head office to ensure time tickets are accurate and informs of any changes.
Balances coded labour hours between site and office initiated labour reports.
Enters adjustments for coded labour hours.
Prepares Labour, Material and Equipment (LME) tickets for client sign off on a daily basis.
Prepares electronic labour tickets for submission to client and head office.
Recovers client approved LME tickets and sends to head office for processing.
Books charter / commercial flights for company personnel in accordance with site procedures.
Books camp space for company personnel in accordance with site procedures, initiates employee badge activation.
Prepares travel allowance sheets and travel reimbursements (flight delays).
Assists with obtaining vehicle passes.
Provides administrative support to the Construction Management Team.
Maintains project file system.
Coordinates office equipment maintenance.
Maintains office supplies inventory.
Faxes/photocopies project related documents as required.
Compiles new hire information and forwards to client per site procedures (ie. name, classification and badge ID number).
Arranges and coordinates courier pickups and deliveries as required.
Education:
Grade 12 graduate with preference given to those with relevant post secondary education.
2+ years experience in an administrative or accounting role for industrial construction projects.
Advanced skills in MS Office (Excel, Word, PowerPoint, Outlook).
Knowledge of business communication, including style and format of letters, memoranda, minutes and reports.
Previous experience and knowledge of the construction or oil and gas industry is preferred.
Exceptional time management skills; diligence in following documented process to ensure work is completed effectively and efficiently.
