Description

Applicants are invited to apply for the full-time position of Staffing Coordinator/Confidential Assistant at our 127 bed Facility located in Moose Jaw, SK.
Reporting to the Administrator, the Staffing Coordinator/Confidential Assistant will be responsible for assisting out-of -scope staff in the provision of efficient, effective and accurate scheduling and payroll services to the facility in accordance with the company's vision, mission, values, policies and objectives. The Staffing Coordinator/Confidential Assistant is also accountable for contribution to the efficient and effective operation of the facility by providing confidential administrative and project support services to out-of scope staff and filling in for the Bookkeeper while on leave.
The position is responsible for the following:
*Maintain facility resume files
* Prepare external job postings (i.e. Saskjobs) in consultation with the appropriate supervisor
* Post vacancies and awards job postings consistent with the terms of the applicable collective agreement after consultation with the appropriate supervisor
* Prepare and maintain master staffing schedules
* Ensure call-in lists are kept up to date
* Work closely with supervisors to ensure time-off requests submitted by employees are dealt with on a timely basis and vacant shifts are filled as per protocol. Grant leaves of absences, after consultation with the appropriate supervisor.
* Enter payroll information into the computerized scheduling system.
* Provide support to Extendicare's Attendance Management Program through compilation and reporting of attendance/absence reports (i.e. attendance statistics, data analysis), letters, booking of appointments, and attending performance coaching meetings/note taker when requested by management.
* Perform general reception duties including answering telephone and directing callers to the appropriate individual.
