Description

A financial planning firm is seeking a qualified Administrative Assistant to join our team. Reporting to three Financial Advisors, the Administrative Assistant is the front-line person for our company, and therefore, must demonstrate a high standard of professionalism.

This position demands sharp attention to detail and well-developed interpersonal skills. Working closely with a team of Advisors and Assistants, you have a strong work ethic and positive attitude that contributes to growing our business at a fast pace.

Specifically you will:
Process and follow up on all financial transactions (purchases, transfers, switches, redemptions)
Closely work with the compliance team, and Branch Manager
Account documentation management
Execute client trades with utmost accuracy and ensure timely settlement
Liaise with back office to complete client inquires and requests
Client communication  daily, by telephone and written communication
Reception duties, including welcoming clients, offering beverages, and making sure they are comfortable
Distribution of mail, maintain office supplies, arrange for paper shredding, postage machine updates & adding postage, maintenance of copying machine
Anticipate and identify potential complications and determine appropriate solutions;
Other duties as assigned.

To qualify for this opportunity you possess:
A minimum of 2-5 years of work experience as an assistant or equivalent;
Flexibility and adaptability to a fast-paced environment;
Sharp attention to detail;
Superior interpersonal skills with both clients and colleagues;
High level of professionalism;
Ability to prioritize, multitask, work within time constraints and follow-up;
Aptitude with numbers;
Excellent telephone demeanor;
Ability to learn quickly and make sound, timely decisions;
Able to present a polished appearance in a business formal environment;
