Job Summary
As the Administrative Assistant, you are responsible for a variety of administrative tasks to meet the technology and administration requirements of our organization and be responsible for performing a range of duties from clerical to administrative for the Loan Officer.
Responsibilities:
-Assist in the preparation and submission of invoices and travel claims.
-Maintain and update various contact and distribution lists.
-Respond immediately to basic client enquiries and escalate complex client enquiries to appropriate parties based on knowledge of the process.
-Input loan application data into the loans management system.
-Coordinate meetings, conference calls, video conferences including; scheduling, compiling required materials and making catering arrangements.
-Coordinates travel for Board and Staff.
-Exceptional customer service skills in handling all office inquiries.
-Review loan files to insure files are complete.
-Fax/email/Incoming/Outgoing Mail.
-Reception duties (phone, in-person contacts).
-Errands for drop-off and pick-up (Deposits, Accountants, etc).
-Filing and Inventory (Office supplies, stationary, postage, etc).
-Website updates.
-Point person for any maintenance concerns within the office or equipment.
-ISC searches, registrations and releases.
Requirements
-Possess a minimum of two years? experience in a related position (or an equivalent combination of training and experience).
-Experience using MS Office applications (including Word, Excel, Outlook, PowerPoint).
-Solid keyboarding skills with the attention to detail to find and correct errors.
-Strong attention to detail.
-Ability to effectively prioritize and plan work activities, use time efficiently, prioritize tasks, and meet deadlines with high level of detail and accuracy.
-Experience with loan management software or database management would be a definite asset.
-Experience with a Bank or Credit Union would be an asset.
