Job Summary
Under the supervision of the Executive Director, or his/her designate, the Office Manager/Fine Options Placement worker will be responsible for creating and maintaining a positive first impression for John Howard Society clients, staff and public; provide receptionist administrative service; and the Fine Options Placement program worker.

Duties:
Provide telephone answering and call direction at front desk
Arrange outgoing mail and courier
Order office supplies
Updating agency phone and staff lists
Maintain staff room supplies
Maintain staff communications binder
Assist in ensuring that the safety, cleanliness and tidiness of the program site are maintained.
Utilize communication skills to ensure a positive image of the John Howard Society in the community through excellent reception skills
Ensure a tidy and hospitable reception area
Maintain confidentiality
Interview all persons referred to the local office under the above programs.
Locate appropriate job placements for these persons.
Monitor those placements and the appropriateness of the placement agency.
Develop and expand the list of suitable placement agencies.
Ongoing monitoring of placement agencies to assure their suitability for, and satisfaction with, the program.
Ensure that all billings and statistics are maintained accurately and promptly forwarded to the Provincial office and to funders.
Provide such referrals to placement clients as appropriate and as time permits.
Maintaining an appropriate filing system
Perform other duties as assigned

Demonstrated ability to maintain positive relationships with public
Solutions-based thinking
Excellent phone manner
Computer skills with emphasis on Microsoft suite of programs (Outlook, WORD, Excel)
Ability to maintain a good working relationship with staff and clients
