Job Summary: Administrative Assistant reports to economic development director & portfolio councillor. This position is responsible for providing administrative support to the economic development team to ensure efficient operation of office. Communicate via phone & email ensuring that all administrative assistant duties are completed accurately & delivered with high quality & in a timely manner. Support includes CEO of Atoskewin, business managers & employees through a variety of tasks related to organization & communication.
Duties & Responsibilities: Greet people entering office, answer questions & direct visitors to appropriate people, services in cheerful manner; offer assistance, answer & forward telephone calls, schedule & confirm staff appointments, & meetings, develop & maintain mass email contact list, help organize & plan special events & meetings, produce & distribute correspondence memos, letters, faxes & forms, develop & maintain a filing system, order office supplies, assist creating reports, letters, memos or other documentation, establish work priorities & ensure proper procedures are followed, arrange, prepare honorariums, travel, reimbursements, etc., prepare accounts payable documentation, cheque requisitions, back-up, etc, submit & reconcile expense reports, other duties as assigned.
Education & experience: Preference will be given to candidates with Administration Assistant experience & with a minimum 2 years' experience in field.
Knowledge, skills & abilities: Must be friendly, dependable & trustworthy, professional demeanor, ability to interpret & implement organizations policies & procedures, Excellent multi-tasking & decision making skills, Liaise with community, knowledge of office management systems & procedures, excellent time management skills, flexible schedule, excellent written & verbal communication skills, proficiency in MS Office, valid drivers license & transportation. Possess cultural awareness & sensitivity. Abide by policies
