Description

Major Duties and Responsibilities
Receive and interview visitors
Front End Customer Service including screening public contacts and telephone calls and determine the nature of the call.
Responsible for all office materials
Responsible for receiving, recording, date stamping and distributing all mail for the Mayor, City Manager and City Clerk and make copies of correspondence, etc. for various departments for their information as required.
Following an election (every 4 years) provide all Council Members with relevant material (as designated by the City Manager and City Clerk) order name plates for Council Chambers, arrange swearing-in ceremony and reception to follow, prepare all documentation for swearing-in ceremonies.
Make arrangements for Council members to attend functions if Mayor is unable to attend, provide background information and confirmation.  Update the Council Calendar for all commitments.  
Prepare information for appointment of Commissions/Boards of Council, maintain current listing, correspondence to all appointees, Department Heads, Secretaries to Commissions/Boards and citizens-at-large; distribute reference manual as required.
Attend Management Meeting and Strategic Planning Meetings; recording minutes and notes and circulate as required.
Responsible for preparing weekly Council Information Material package
Maintenance of the permanent records for the City of Yorkton along with accompanying databases.
Provide assistance to the Assistant City Clerk as required on special projects.

Qualifications  
Minimum 3 years Administrative Experience, Preferred Certificate in Office Education and Computer Education.
Proficient knowledge of computer applications including Microsoft Office applications, VADIM municipal software.
Possess and maintain RCMP security clearance;
Preference may be given to Employees who reside within the corporate limits of the City of Yorkton.
