Description

The Program Assistant is an administrative support position reporting to the Director of Mining. The Program Assistant may be assigned a variety of duties. These duties include, but are not limited to, the following;
Collect research data for programs; advertise programs and provide information to the general public; applicants, and students; arrange for facilities and equipment needed for programs; obtain price quotes from suppliers; order books; and supplies; ship/receive; and maintain inventories; assist in student recruitment; orient new instructors about College administrative procedures; monitor program activity and provide feedback to the supervisor(s); collect student documentation and reports from instructors; assist in the preparation, scheduling, and distribution of program reports as required; review program budget expenditures and match spending summaries with spending records; send; receive; and arrange invigilation for exams for students in various institutes; maintain program records; compile information packages; design forms; create spreadsheets; compose and distribute memos; letters; and reports; record and transcribe meeting minutes; and other duties as assigned.

The minimum qualifications/requirements for this position are:
A relevant one-year post-secondary certificate or equivalent; one (1) year of relevant experience; must be prepared to schedule hours of work according to the demands of the position which may include occasional evenings and weekends; must have a valid driver's license and willing to travel occasionally including overnight stays; air travel; and travel on gravel roads; proven organizational skills; extensive knowledge of business communication and office procedures; filing; advanced computer skills in word processing; basic skills in spreadsheets; ability to work independently and keep supervisor(s); coworkers; and external partners apprised of important developments.
