This position provides administrative support for the management team, overall business, along with basic reception duties. This position calls for someone who is detail oriented, possesses superior organizational skills and a sound working knowledge and competency of Microsoft Office.
Key Tasks & Responsibilities:
Provide administrative support, as required by the General Manager and Management Team;
Perform basic reception duties including answering the telephone, directing incoming calls, serving customers who enter the administrative office, date stamp and distribute incoming mail, prioritize and direct correspondence to ensure timely customer service and responsiveness;
Process daily cash-outs and prepare bank deposits;
Process payables and receivables
Collect and enter hourly paid staff hours in payroll system;
Take and prepare Management and Board Meeting minutes
Manage service calls for office equipment (photo copiers, telephones, and ATM machine);
Maintain central filing system for payables, receivables, contracts, leases, and general correspondence;
Other duties as assigned
Skills & Experience Required:
Minimum High School Diploma with (preferred) post-secondary secretarial or business education;
Proficiency with Microsoft Office (Work, Excel, Power Point, Outlook);
Experience with SAGE Simply Accounting
Basic office administrative experience (2-3 years preferred);
Excellent communication and interpersonal skills;
Basic understanding of financial reporting;
Excellent time management and organizational skills;
Able to work independently and prioritize time sensitive tasks;
Self-motivated, diplomatic; innovative, detail oriented and able to accept challenges;
Proven ability to work in a team environment; at ease with all levels of management (internal and external);
Experience and knowledge of golf course operations is an asset;
