Description

Complete assigned tasks from the Executive Director or designate.
    Prepare correspondence and complete typing assignments for Executive Director. Typing assignments for other departments if time is available and as made available by the E.D.
    Provide administrative support other departments when required by Executive Director.
    Maintain personnel files & ensuring storage cabinet is kept locked.
    Oversight of staff hiring packages (stage 1 and stage 2), in consultation with Executive Director and managers, making sure all elements are completed per policy time-lines
    Track vacation/sick time, etc.
    Ensure eligible staff are registered for the Salvation Army Benefit program
    Filing and other paperwork    
    Assist Bookkeeper with preparing trustee client monies for the day, etc.
    Sort through all mail and distribute as required.  Opening of mail should occur per Waterston Centre policy practices    
    Provide information and referrals to individuals as required  
    Receive all staff payroll time sheets from managers in preparation of payroll, clarifying any discrepancies with the same.  Submit to E.D. for completion of payroll.
    In absence of Executive Director, submit timesheet to payroll office.
    Be knowledgeable of staff locations in building to assist in communication
    Ensure policy and procedure manuals remain current, sending updates to departments as required.  Also, discuss any recommendations with the Executive Director.
    Monitor and order office supplies.  Distribute upon receipt.  Provide invoices to Bookkeeper
    Facilitate an inventory control system
    Responsible for Family Tracing program.
    Take Minutes at meetings  as assigned by Executive Director
