Your daily work:
The job will involve a range of tasks supporting the financial, office, project, and business functions for the team.
Financial support
o Prepare and enter invoicing in accounting system (Microsoft Dynamics SL).
o Project administration, including timely performance of admin tasks to start, monitor progress, close, bill and archive project files digitally.
o Manage company issued credit cards, fuel cards, car wash card distribution, tracking and sign out of appropriate credit authorization.
Office management
o Answer phones, direct customers, welcome visitors, as needed
o Spearheading process improvement initiatives that will increase productivity and efficiency.
o Manage office administration duties including stationery, cleaning contracts, cleanliness, recycling, mail, couriers etc.
o Support office and project safety administration
Project support
o Create job packages/office files, track job charges & file, organize job files, maintain filing system at all times.
o Provide file management services for project related activities including obtaining permits, developing letter, supporting stakeholder engagement processes, etc.
Business & marketing
o Create, update, and manage compelling marketing material.
o Provide support for the development of Requests for Proposals (RFPs) and other proposal requests.
