To report to the CEO and be responsible for the execution of the following:
Internal Accounting
- Invoice sales revenue and memberships
- Receipt payment received in house and events
- Pay suppliers
- Track/Document Petty Cash
- Do weekly bank deposits
- Process/Submit Payroll, T4s, GST and ROAs
- Prepare monthly financial reports to the Board Treasurer and CEO as per policy
- Prepare monthly statements on overdue accounts as per policy
- Prepare and submit any financial information to the External Accountant for the Fiscal Year End Financial Statement
- Once completed by the External Accountant and approved by the Board, submit the Year End Financial Statements to ISC
- Prepare and submit annual summaries to the appropriate government agencies
- Office
- Main call line first point of contact to handle or direct requests accordingly
- Maintain office files
- Address any problems with the computer/photocopier, website, etc by contacting the appropriate company
- Assistance in updating the website
Board Related
- Minutes for the Board, Executive and Finance Meetings and the processing of the packages for those meetings. Management of the DropBox folders.
- Update Agendas
- Update the Policy, Bylaw, and Orientation Manual as needed, hard copies and digital copies
- Update Board list on Website, ISC, and Industry Canada
- Maintain Board members directory
- Email calendar invitations/ and or information to the Board/Committees for meetings and as needed.
Events
- Assistance at Events/Luncheons; help with set up & take down, place appropriate table signs, check people in and receipt any payment given
- Process registrations and do billing for all luncheons and related events such as Chairmens Night, Chamber Golf Tournament, and Samuel McLeod, etc.
