Reporting to the Manager, Capital Assets the Admin Support 1 is responsible for scanning accounts payable invoices and other important documents and providing an internal courier service.
The Admin Support 1 will:
Pick-up and deliver internal and external mail and packages adhering to the daily delivery schedule.
Perform additional ad hoc pick-ups and deliveries as necessary.
Transport daily deposits and mail to the bank and post office.
Date stamp invoices received by mail at City Hall.
Ensure invoices are sent to the appropriate department for review/approval via internal mail.
Scan all purchase orders and invoices.
Other scanning and filing as needed.
Sort mail delivered to City Hall to appropriate mail slots.
Ensure envelopes to be mailed are put through the mail machine with the correct amount of postage.
Monitor funds available on the mail machine and generate a purchase order when necessary to replenish funds.
Provide basic coverage for the reception desk when the receptionist is on their lunch or break.
Other related duties as assigned.
