DUTIES AND RESPONSIBILITIES:
Assemble data and prepare periodic and special reports, manuals, and correspondence, Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related material from machine dictation and handwritten copy, Open and distribute incoming regular and electronic mail and other material, Schedule and confirm appointments and meetings of employer.
Order office supplies and maintain inventory.
Answer telephone and electronic enquiries and relay telephone calls and messages
Co-ordinate and plan for office services, such as accommodation, relocations, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services
Determine and establish office procedures
Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person
Record and prepare minutes of meetings
Arrange travel schedules and make reservations
Compile data, statistics, and other information to support research activities
Train office staff in procedures and in use of current software
Organize conferences
QUALIFICATIONS AND BEHAVIORAL REQUIREMENTS:
Completion of secondary school is required.
Completion of a one-year administrative certificateortwo-year college diplomaorother program for administrative assistants required
University degree considered an asset
Excellent communication skills required
Extremely organized and high attention to detail required
Commitment to continuous professional development
Excellent leadership, problem solving, and decision-making skills
Advanced skills with computers and software required: Microsoft Office 365 Suite: word, Outlook, SharePoint, Excel, PowerPoint
