St. Paul's United Church has an opening for an Office Administrator. Applicants must have good telephone skills and work well without direct supervision. Applicants should have a clean and professional appearance, be polite, well spoken and well-mannered. Excellent computer skills are required; experience working with Mac computer an asset.
Hours of Work:
September - June: Monday - Friday - 8:30 a.m. - 12:-00 p.m. & 1:00 p.m. - 4:30 p.m.
July & August (summer months) - 8:30 a.m. - 12:00 p.m. with flexibility to extend working hours as needed.
Confidential Receptionist duties will consist of the following:
- Receive and direct phone calls and e-mails
- Receive and direct visitors
- Respect privacy of all individuals
- Pastoral Care skills requires
- Maintain a good working relationship with all members of the congregation, Leadership Team and staff
*Note: The ability to maintain confidentiality is extremely important in this position.*
Secretarial duties will consist of the following:
- Work closely with Ministry personnel
- Prepare Sunday bulletin weekly, prepare projection (Keynote) for Sunday service weekly
- Revise and maintain Historial Roll
- Handle bookings, scheduling, and billing of all property rentals subject to policy of the church
- Consult with Leadership Team, House Group Leaders, UCW and congregational volunteers regularly
- Various other duties as assigned
Financial:
- Consult with Treasurer as needed
- Data entry and regular maintenance of all financial records (ledgers, donations, tax receipts, satatements, bank reconciliations, etc.)
- Responsible for all aspects of payroll and relating information to the United Church of Canada's centralized payroll system (new hires, monthly salaries & benefits, confirming correctness of T4's, requesting ROE's, etc.)
