Description

The Executive Assistant will provide support to Board, Senior Leadership and ensure the smooth operation of administrative functions in the HQC office environment.  

Board support:
    Secretariat and logistical support to the Board of Directors

General Responsibilities to the CEO, Executive Directors and Organization:
    Provides confidential administrative support to the CEO and the Executive Directors
    Establishing and maintaining administrative policies, procedures and processes
    Review, log, direct and follow-up on requests and responses submitted to HQC
    Organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety.  This may include coordinating and managing office furniture, equipment, supplies and maintenance.

Knowledge Skills and Abilities:
    Strong ability to develop new administrative policies and procedures, and suggests innovative ways to improve existing policies and procedures
    Ability and experience in minute taking
    Ability to performs administrative tasks with a high degree of accuracy
    Excellent at developing and implementing electronic file management processes and archiving
    Excellent Microsoft Office skills (Excel, PowerPoint and Word)
    Exceptional understanding of office operations and functions
    Strong professional acumen and customer service
    Excellent time management and planning skills
    Strong ability to prioritize
    Ability to handle confidential information
    Strong interpersonal skills
    Can handle multiple jobs and challenges at any given moment
    Ability to work independently
    Works with a positive attitude on how to approach tasks & duties
