Duties and Responsibilities:
Greet people and direct them to contacts or service areas
Answer and direct phone calls; Respond to customer emails in a timely manner
Provide the sales representatives with administrative support, including order entry, phone calls, problem solving for accurate invoicing, etc.
Accept phone, email, and fax orders; Ensuring orders are recorded accurately
Process and print invoices; Enter/edit invoices in systems
Receive and file payments for customers shopping in our wholesale store
Maintain contact lists
Provide support to Director with various tasks, projects, reports, and general business upkeep necessities
Order office supplies and maintain inventory
Collaborate with delivery in providing information for shipments
Perform general data entry and file paperwork as needed
Organize and schedule appointments as needed
Arrange travel schedules and make reservations as needed
Requirements and Qualifications:
EDUCATION: Completion of a one- or two-year college or other program for administrative assistants or secretaries is required
EXPERIENCE: Two (2) years previous clerical experience is required
PERSONAL SUITABILITY:
Excellent verbal and written communication skills
Proficiency in Microsoft Office Suite
Strong organizational and detail-oriented skills
Multitasking and time-management skills, with the ability to prioritize tasks
Have the ability to handle confidential materials and information
