Description

Your main duties will include:
-Providing administrative support to management of the Technical Operations Department, including composing, and typing letters, creating reports, preparing accurate minutes of meetings, making travel and hotel arrangements, photocopying and preparing expense reports.  
-Address accounting accuracy  ensuring addresses have the proper geographical node identification in our billing system.
-Administering the underground drop replacement program through ensuring addresses requiring replacement are scheduled, changes made, comments from customers are communicated to the contractor and reports for tracking purposes.
-Preparing Approval for Expenditure (AFE) forms for signature, updating the AFE tracker to keep accurate records on what has been spent to date by appropriate codes as well as what has been financially committed.  
-Ensuring records are updated on work performed upon receipt of invoices relating to infrastructure improvements and/or repairs in the field.
-Prepare weekly and monthly reporting dashboard for the Reporting Managers based upon the preparation and analysis of technical reports, liaise with HR and Finance on the collection and building of the reports.
-Assistance in the departmental monthly and annual budgeting processes.
-Preparing documentation as required by ISED for the leakage program.

Competencies for Success:
-A Grade 12 diploma and formal administration training or other equivalent education, from a recognized business school or 3 years of related experience are required.  
-Knowledge of both theoretical and practical aspects of project management.
-Proficient in Office 365 Microsoft Suite, including Excel, Word, PowerPoint, Visio and ticketing systems and communications platforms such as Slack and Zoom.
-Strong organizational, communication (written and oral), interpersonal and time management skills and have strong attention to detail.
-Clear Criminal Record Check is required.
