Primary Responsibilities
The Executive Assistant:
Is responsible for a wide variety of administrative duties in support of the Executive Director and Administration Department, with priority given to the Board of Directors, Board Sub-Committees, Senior Leadership Team, & Technical Team.
Provides direct administrative and office management support to Executive Director and Administration Department, which may include preparing schedules, making arrangements and reservations for those listed above as well as the Board of Directors, Senior Leadership Team, Board Sub-Committees, Technical Teams.
Working closely with Board members to provide updates and support for computerized applications that are used within the organization.
Working closely with the Director of Finance, provides assistance in a variety of financial activities. (Preparing contractor invoices, cheque requisitions, and memos and letters on behalf of the Finance Department).
Coordinates logistics of executive team programs including meetings, seminars, workshops, special projects and events
Reviews and prepares documents, reports and correspondence for all executive leadership. This includes preparing documents for executive signatures as well as background documentation, and research, ensuring correct format, content, grammar and spelling, as well as all internal and external correspondence on behalf of the Executive Director and Board Chair. (Letters, memos, briefings).
Provides communications support for the organization, and staff, including media requests, press releases, local publishing support (including, but not limited to photographing specific TEA events and activities, cataloguing and maintain electronic files, supporting desktop publishing, coordinating and overseeing external publishing, vetting and providing sources/making recommendations for copyright protection, working with communications contractor to support media requirements).
