Description: The executive assistant works closely to provide administrative support to the Executive Director and management Team at the centre including being responsible for onsite bookkeeping and payroll. The position falls under the direction of the Executive Director. The Centre uses QuickBooks Online for book keeping and Payworks for processing Payroll for 26 employees bi-weekly.
Qualifications:
Certificate or Diploma in business admin or office education.
2 to 4 years experience working in administration or book keeping.
High attention to detail.
Working knowledge of non-profit accounting principles.
High organizational skills.
Experience with Quickbooks Online, PayWorks, Office 365 for business, WordPress, and common social media channels are all considered assets.
Good written and oral communication skills.
Analytical and research skills.
Criminal Record Check (CPIC), Drivers license, First Aid CPR.
Experience and skill working with urban Indigenous peoples.
Responsibilities:
Assist the Executive Director preparing for meetings and events with agendas, minutes and records.
Day-to-day book-keeping and payroll data entry and assist with full-cycle financial management.
Assist the Executive Director and management team in preparation of budgets and financial reports for internal and external use.
Prepare and respond to correspondence via letters, emails, social media inquiries, and phone.
Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and board of directors on topics as assigned.
Oversee student placements and volunteers as assigned.
Assist the Management Team and Executive Director in administration of organization and programming by compiling data, reports, communications, and scheduling.
Perform general office duties such as ordering supplies, maintaining records, and databases.
