This is a term position which provides administrative support to the Executive Director in the Youth Empowerment Secretariat. The successful candidate must understand and maintain confidentiality protocols, be self-motivated, with a commitment to working collaboratively in a team-based environment, possess a strong attention to detail, good interpersonal skills and excellent writing and communication skills, strong organizational skills, with the ability to multi-task in a fast-paced environment.
Administration
Review of correspondence and prioritize for action to be taken; compile background information on correspondence where required.
Maintain confidential files/materials; ensure that all other documentation is properly filed for future references.
Secretariat office management
Signing Authority at an approved level.
Transcription.
Copying, filing and collating documents.
Processing standard forms.
Responding to routine information request.
Record Keeping:
Managing staff attendance.
Maintaining filing, library and information systems (i.e., data base on personnel, library holdings, Tribal councils or First Nations lists, etc.)
Mail Organization and Distribution
Receiving and sorting mail.
