Duties and Responsibilities:
Provide high level confidential administrative support to CEO and COO.
Act as a liaison between the CEO and COO and the management team.
Reply to emails and forward emails in accordance to COO and CEO.
Researching a variety of systems, concepts, and projects on behalf of the CEO and COO relaying all vital information.
Prepare internal and external corporate documents, reports, and presentations.
Maintain an organized filing system of electronic documents, as well as ensuring all paper documents are uploaded to electronic files.
Collaboratively support all resources, teams, projects, and initiatives within the organization.
Managing the Directors calendar through collaboration, prioritization, and scheduling.
Assembling all briefing and background materials for the Director in preparation for meetings.
Monitoring the Directors emails and redirecting requests to other team members as appropriate.
Planning, scheduling, and coordinating travel and logistics for meetings, training sessions, and other events.
Monitoring administrative processes and making improvements across the organization to ensure optimum efficiency.
Participating in and coordinating management meetings, including drafting, and distributing agendas, recording minutes and tracking and monitoring action items to ensure timelines are met.
Managing incoming and outgoing correspondence, ensuring proper distribution.
Maintaining manual and electronic filing, bring forward, and records management systems.
Verifying, coding, processing, and tracking invoices for approval and payment, ensuring policy compliance.
Ordering office supplies and overseeing office administrators tasks and duties.
Performs highly detailed work on multiple, concurrent tasks.
All other tasks assigned by management.
