Responsibilities:
-Logistic administration duties:
o Process all Transportation & Accommodation Request forms for persons requiring travel to site
o Create and submit flight manifests, daily reports, and manifest change forms
o Obtain departure times and ETAs; finalize manifests, print and distribute boarding passes, communicate luggage and water sample wights to carriers
o Coordinate logistics in the event of a flight delay, including; communication with ground services at all pick up points, with all employees, Catering, and coordination of meals for off-site passengers
o Setup and maintain work schedules and flight rotations for all employees, and update applicable lists and forms
o Support senior team members with on-going review of aircraft seat capacity and routing deviations
-Administration:
o Reception: manage incoming calls and provide on site support to employees and visitors
o Work with Catering office to allocate rooms for all employees, visitors, short & long term contractors
o Prepare documentation to authorize gate access
o Perform time entry audits
o Facilitate site tours
o Assist with updating work instructions, procedures and training manuals
o Support internal customers and relay information regarding vacation balances, flight changes, and time entry adjustments
o Assist with maintaining the Vacation and Management Schedules
-Assist with other duties as required
Skills and Qualifications:
-Grade 12 Diploma
-Office Administration education is preferred
-2+ years experience in an office environment
-Experience with MS Office
-Preference will be given to qualified Residents of Saskatchewans North (RSN). Athabasca residents will be given priority
Work Location & Schedule:
-McClean Lake
-14 day in/ 14 day out rotating schedule
-Normally an 11 hour work day, although some activity outside of normal working hours may be required
