Responsibilities
- Greet and receive parishioners and visitors at the parish office, in a welcoming and friendly manner.
- Perform reception duties including answering telephone calls, check messages and emails and route to the appropriate individuals.
- Use tact and discretion when listening and answering to parishioners in need of assistance, referring them to the priest and others as appropriate.
- Enter and maintain records of baptisms, weddings, funerals, confirmations, and other sacraments through Parish Friendly software.
- Print or make copies of Sacramental certificates.
- Maintain monthly calendar for Weekday and Sunday masses, Baptisms, weddings, memorial masses, church events and mass intentions.
- Handle payments for ritual services, mass intentions, other private events; enter them in Sage Accounting, add to weekly deposit and pay out monthly stipends.
- Pay Bills, Diocesan Invoices, the priests expenses, payroll, and Canada Revenue remittances
- Order office supplies, sacristy supplies, yearly missals.
- Check mass collection counters tally sheet, prepare and make deposits to banking institution.
- Maintain bookkeeping of expenses, revenues and provide monthly reports to Priest and Parish Finance Council.
- Filing as needed and upkeep archives
- Apply for lottery licenses when there are fundraisers and manage ticket monies for entering in accounting software and depositing.
- Apply for yearly elevator license.
- Apply for GST rebate every six months from CRA
- Prepare Year End Diocesan report and Year End Federal Charity report
- Maintain and update parish Facebook account; prepares weekly announcements
- Perform related duties as required.
Requirements
- Experienced with Microsoft programs, SAGE Accounting program, and programs to design flyers for events
- Strong written and verbal communication skills
- Two years of experience as office secretary or bookkeeper would be an asset.
