The City of Moose Jaw is seeking to fill a temporary full-time Clerk-Steno position in the Operations Department for approximately 6 months. Under the direction of the Director of Operations, the Clerk Steno is responsible for the performance of the following duties:
- Coordinate and compile meeting agendas, supporting project managers as required
- Attend and take accurate minutes for internal or third-party meetings, coordinate review and revisions of minutes, complete and deliver finalized minutes
- Provide budget software support in the issuance of payments, associated certificates, work orders, and related project documents
- Assist in coordinating the Departments news releases and public service announcements concerning project activities
- Receive front desk inquiries, answer and respond to telephone calls, e-mails, and all other general inquiries
- Answer and respond to Requests for Service with a high degree of quality, tact and efficiency, resolving or redirecting request as required
- Maintain a complete and comprehensive filing and retrieval system
- Initiate a wide variety of communications for the Department including e-mails, memos, letters, notifications, and presentations
Qualified applicants will possess:
- 1 year recognized program in office administration, or accepted equivalent
- 1 year experience in a senior administrative/secretarial position
- Accurate word processing/typing skills
- Strong clerical and organizational skills, including the ability to understand and effectively apply general office procedures with a minimum of supervision
- In-depth working knowledge of computer software packages and office equipment and ability to operate specialized application software
- Strong written communication skills and understanding the meaning and relationship of words in communications
