We are looking for an Administration Assistant to manage a variety of administrative and clerical task daily. Our Administration Assistant duties include but are not limited to offering administrative support across the organization, Accounts Payable, Accounts Receivable, Reconciling, Invoicing, etc.
Responsibilities
Assist with answering and directing phone calls to the appropriate department or individual
Perform order entry tasks accurately and efficiently
Assist with Accounts Payable and Accounts Receivable
Reconciling work orders
Creating invoices and sending them to clients
File and maintain documents, records, and reports
Perform general clerical duties such as photocopying, scanning, and faxing
Provide excellent customer support by addressing inquiries and resolving issues in a timely manner
Requirements and skills
Proven work experience as an Administrative Assistant or a similar role
Proficiency in Microsoft Office Suite. Microsoft Word, Excell, exc.
Hands-on experience with office equipment (e.g. fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
High school degree; additional certification in Office Management is a plus
