The Job duties and responsibilities include the following:
-Managing the daily operations of the office.
-Organizing and maintaining files and records.
-Ordering office supplies and managing inventory.
-Handling incoming and outgoing communications, including phone calls, emails, and mail.
-Serving as the first point of contact for clients, drivers, and vendors.
-Scheduling appointments and meetings for managers and staff.
-Coordinating travel arrangements for staff, including booking transportation and accommodations.
-Preparing and maintaining transportation documents such as bills of lading, invoices, and delivery receipts.
-Creating and distributing reports related to transportation activities and office operations.
-Addressing inquiries and providing customer service to clients and drivers.
-Resolving issues related to shipments, deliveries, and logistics.
-Entering and updating data in transportation management systems and other databases.
-Maintaining accurate records of shipments, deliveries, and vehicle maintenance.
-Ensuring compliance with company policies and industry regulations.
-Assisting with audits and inspections by preparing necessary documentation and reports.
-Assisting with billing and invoicing.
-Managing accounts receivable and accounts payable processes.
-Preparing expense reports and assisting with budget tracking.
-Keeping records of vehicle maintenance and inspections.
-Ensuring all safety protocols are followed and documented.
