Mitsubishi Power Canada, Ltd. is a major supplier of steam turbines, gas turbines and generators to the energy industry in Canada. We are currently seeking for an Administrative Assistant to join our team.
Responsibilities:
General administration duties including:
-Answer the main office telephone line and door
-Retrieve mail and send outgoing mail.
-Maintain and re-order all office supplies.
-Arrange, create documentation and dispatch packages.
-Prepare travel arrangements for staff and guests, as required.
-Coordinate building service and maintenance items.
-Administer meeting preparations including video/audio systems, meal arrangements, etc.
-Filing and maintaining general office records.
Assist in the creation, receipt, and invoicing of purchase orders.
Investigate and resolve inquiries related to invoices and purchase orders.
Assist in the creation of customer quotations.
Assist in the entry of time recording.
Requesting information and documentation from customers and vendors to keep accounts up to date.
Document control.
Other duties as assigned.
Requirement/Qualifications:
Post-secondary diploma or high school graduate certificate with equivalent amount of experience.
Two or more years of related work experience.
Familiarity with MS Word, Excel, and Outlook. Experience with an ERP is an asset.
Ability to prioritize, multi-task, work within time constraints and follow-up
Confident in building and maintaining organizational systems.
Anticipates needs and is confident in their ability to solve problems.
Meticulous attention to detail
