Description

Reporting to the General Manager, the Receptionist/Admin Assistant is a valued member of a team of Administrators, Psychologists, Social Workers and Certified Counsellors who provide vital mental health counselling services.  The successful applicant will be responsible for providing administrative support and clerical resources to clients, Employee Family Assistance Program co-ordinators and our own staff & independent contractors.  Our Administrative Assistant will provide a confidential, friendly, compassionate, and professional environment for all.

SKILLS AND ABILITIES
-Excellent organizational and interpersonal skills
-Must be trustworthy, reliable and dependable
-Must understand and respect the confidential nature of our business.
-Ability to multi-task in a fast-paced environment while remaining calm, pleasant and level-headed
-Proficient in Excel, Word, Outlook.  
-Online scheduling experience through Jane App is an asset.
-Strong oral, written communication and proofreading skills
-Ability to: work independently with minimal supervision, take verbal direction and independently problem solve
-Ability to provide new ideas and suggestions to aid in the improvement of the overall business
-Ability to work collaboratively and respectfully with our large team
-Ability to independently complete tasks in a timely manner
-Willing to work flexible hours to accommodate the practices busy evenings 2-3 times a week
-The ideal candidate will also have the opportunity over time to potentially work up to taking on more of the office managers duties.

KEY RESPONSIBILITIES
-Reception & telephone responsibilities
-Clerical support
-Day-to-day appointment scheduling (currently using ClinicMaster software)
-Administrative support tto all team
-Client intake and collection of related paperwork, filing, emailing/faxing and other communication
-Maintain office equipment and supplies
-Monthly statistical reporting
-Bank deposits
-Collecting Payments
