Description

We are currently seeking a highly organized and detail-oriented Office Administrator to join our team in Moose Jaw, Saskatchewan. This pivotal role supports daily business operations, ensuring smooth coordination across customer service, logistics, finance, and inventory management.The ideal candidate is a proactive, resourceful individual with excellent multitasking skills and a commitment to delivering high-quality administrative support in a fast-paced environment.
Key Responsibilities:
-Answer and direct incoming calls, respond to emails, and maintain organized filing systems
-Prepare customer quotes using internal pricing tools and spreadsheets
-Review and process customer purchase orders, ensuring accuracy in pricing, product details, and quantities
-Coordinate production schedules with management to meet order deadlines and customer expectations
-Create and manage shipping documents (BOLs, PLVs, SDSs, material certifications) in accordance with company practices
-Arrange outgoing shipments, provide freight quotes, and coordinate with Oracle Logistics and the corporate logistics team
-Generate customer invoices and submit to Accounts Payable
-Maintain accurate customer records and handle incoming complaints professionally
-Perform other related administrative duties as required
Qualifications:
-Proven experience in office administration, customer service, or operations support
-Strong organizational skills and the ability to manage multiple priorities effectively
-Exceptional written and verbal communication skills
-Advanced proficiency in Microsoft Excel and general computer literacy
-Experience with Oracle Logistics or ERP systems considered an asset
-High level of accuracy, discretion, and attention to detail
