Reception & Administrative Support:
*Greet and assist visitors
*Handle incoming calls and general office duties
*Schedule and direct appointments
*Payment processing
Bookkeeping:
*Perform bookkeeping duties using Sage 50 accounting software
Website & Social Media:
*Update and maintain Chamber website and social media accounts
Event Coordination:
*Assist with planning and execution of Chamber events including luncheons, breakfasts, award ceremonies, golf tournament, and AGM
*Book venues, coordinate setup requirements
*Handle registrations and promotions
*Sponsorship letters
Board Support:
*Prepare meeting packages and reports
*Record and distribute meeting minutes
Membership Administration:
*Assist with recruitment and retention of members
*Prepare and update new member packages
*Maintain member information in ChamberMaster, accounting software, and email distribution lists
Communication:
*Create and distribute mass emails to membership
*Draft correspondence and business communications
Other Duties:
*Manage calendars and coordinate meetings
*Sign Certificates of Origin
*Handle boardroom rentals
*Provide administrative support to the CEO and Board of Directors as needed
*Undertake other responsibilities as assigned
Qualifications & Skills:
*Post-secondary education in business, administration, or equivalent relevant experience
*3-5 years of experience in an executive assistant or office administration role
*Advanced proficiency in Microsoft Office Suite
*Experience with accounting software (Sage 50 preferred)
*Strong written and verbal communication skills
*Excellent organizational, time management, and multitasking abilities
*High attention to detail and problem-solving skills
*Ability to work independently and maintain confidentiality
*Experience in website and social media management is an asset
*Experience in membership database
*Experience in creating surveys
