Maintains up-to-date knowledge of internal policies affecting employee salary and benefits (sick leave, vacation, etc.); gathers and inputs time/attendance data for payroll and reporting; flags any issues to management.
Tracks mandatory training/certification (e.g., First Aid, WHMIS); notifies managers of expiry/re-certification needs; arranges sessions and records attendance.
Assists with payroll administration and responds to related inquiries.
Builds and maintains databases for management and supports system navigation for staff.
Maintains confidentiality and compliance with policies and procedures; supports disciplinary processes up to termination.
Attends grievances, investigates and mediates disputes, and negotiates HR-related resolutions.
Maintains secure, confidential employee personnel files with proper access controls.
Processes payroll and benefits accurately and in a timely manner.
Generates regular and ad hoc HR reports and analyzes data for accuracy.
Manages master schedule for all TCOC homes; updates part-time contracts, shift changes, and informs leaders of changes.
Oversees internal job postings, tracks applicants, and manages offer letters/contracts.
Coordinates efficient staff scheduling in collaboration with Program Director based on home ratios.
Monitors call-in merge form; addresses staffing concerns with Managers/House Leaders.
Tracks leaves (e.g., maternity, medical, vacation), and fills resulting vacancies.
Tracks/reporting of overtime and supports strategies to minimize it.
Qualifications:
Diploma/Certificate in HR or Business Administration preferred.
3+ years progressive HR/administrative experience, including scheduling and onboarding (preferably with Dayforce).
