Description

Administrative Assistant (processing)
The Processing Team is responsible for processing all trade-related requests.  The team provides support to all advisors and their assistants in the office.
Responsibilities:
Administrative support
    Responsible for processing daily financial transactions in an accurate and timely fashion
    Responsible for processing and follow up on all Internal and external transfer requests
    Responding to Inquiries In a professional and timely manner
    Communicate with representatives, assistants and other third parties to ensure requests are completed in a prompt manner.  Ensure all not in good order trades are resolved promptly and efficiently.
    Review all paperwork for accuracy prior to processing
    Manage administration of Client Name GIC entries and renewals on system.
    Provide prompt and courteous service to Internal and external parties
    Support front reception duties as required.  This will Include answering phones, supporting walk in clients, booking appointments coordinating courier shipments/mail as needed.
    
Advisor assistant support
    Provide support to advisor Assistants where required
Continued development and training
    Participate in ongoing training related to job duties; develop knowledge and skills through sponsored education

Skills and requirements:
       Financial knowledge and experience an asset
    Ability to exercise discretion in dealing with sensitive situations, using good judgment when responding to issues or requests
    Strong ability to multitask as priorities may shift day-to-day
    Attention-to-detail, ability to take initiative, strong organization skills
    Strong written and verbal communication skills
    Team players are essential to be successful in this position
    Familiar working in a Windows environment (Office 365, Word, Excel, Outlook, Internet)
Supervision
    This position reports to the Operations Manager.
