The Executive Assistant is responsible for providing secretarial, clerical and administrative support to the Executive Director and to ensure the office of Touchwood Child and Family Services Inc. provides services in an effective, efficient and professional manner.
Qualifications
Grade 12 with twelve (12) months office experience; OR
Certificate in the area of Office Management and six (6) months experience; OR
Diploma in the area of Office Management.
CLERICAL SERVICES
Maintain a record of Executive Director Itinerary.
File and retrieve documents, records and reports when required.
Receive all mail on behalf of the Executive Director.
Assist with planning/organizing meeting and/or special events for Touchwood Child and Family Services Inc. (including booking Caterer services and location selection)
Submit a monthly report to the Executive Director.
Prepare, proof read and edit all outgoing correspondence
ADMINISTRATIVE SERVICES
Maintain an office procedural system for day to day operations.
Compile correspondence and reports on behalf of the Executive Director.
Record minutes of Touchwood Child and Family Services Inc. Board, Staff, Supervisor, and other designated meetings.
In conjunction with Touchwood Child and Family Services Personnel Committee, Board of Directors and Executive Director revise and update all policy and procedure manuals pertaining to Touchwood Child and Family Services Inc.
To work closely with the Executive Director to ensure that all projects and contacts are up to date and ensure relevant managers produce monthly management reports for the Executive Director outlining progress on all agency business.
To create and manage the Executive Directors filing system in relation to agency business and contacts.
