Description

Responsible for providing comprehensive administrative support to all Infrastructure and Public Works Department functions, serving as a key liaison between department leadership, staff, and the public. This position supports the Director through advanced administrative coordination, manages public inquiries with professionalism, and delivers essential services to ensure operational efficiency and effective communication.

Key Responsibilities:
Manage Communication Channels: Oversee phone and email communications, ensuring timely and accurate responses. Route inquiries appropriately, coordinate and distribute department-wide announcements or newsletters, and manage internal messaging systems. Monitor social media accounts if applicable, ensuring consistent branding and messaging across all platforms.
Meeting & Calendar Management: Schedule and coordinate internal and external meetings, prepare and distribute agendas and materials, manage executive calendars, prioritize appointments, resolve conflicts, book meeting rooms, arrange equipment or catering, and follow up on meeting action items.
Administrative Infrastructure Support: Maintain office supply and equipment inventory, implement and update administrative policies, manage office space allocation, oversee document management systems, and support vendor communication and quote gathering.
General Administrative Duties: Handle travel arrangements and expense reports, prepare and edit correspondence, reports, and presentations, manage incoming and outgoing mail and packages, assist with event planning, and provide general administrative support as needed.
Payroll & HR Support: Input employee time and attendance data, verify payroll accuracy, process payroll documents, ensure compliance with labor laws, assist with audits, and coordinate job interviews and reference checks.
