Description

Position Summary:
The Administrative Assistant provides high-level administrative support to the Senior Management Team (SMT) at the Rose Garden Hospice. This role is essential to ensuring efficient operations, coordinating internal processes, and promoting clear and effective communication across departments. The successful candidate will be organized, proactive, adaptable, and comfortable managing multiple priorities in a compassionate, fast-paced, and professional healthcare environment.

This is a 0.6 FTE (three days per week) position, with the potential to increase to full-time. Weekend hours can be accommodated if preferred, and occasional weekend or evening shifts will be required to support meetings, events, and other organizational needs.

Key Responsibilities:
The Administrative Assistant will provide day-to-day support to SMT members by managing calendars, scheduling meetings, and coordinating appointments. They will prepare professional correspondence, internal documents, and reports; handle data entry; and maintain organized, confidential filing systems (both physical and digital). This role supports the coordination of internal communications, assists with planning and executing meetings and organizational events, and takes accurate minutes with follow-up on action items. The successful candidate will manage office supply inventory, support purchasing activities, and liaise with vendors, staff, volunteers, and community stakeholders. Answering inquiries by phone and email with professionalism, warmth, and empathy is a key part of this role.

Qualifications:
The ideal candidate has experience in an administrative or executive support position, possesses strong communication and time management skills, and is proficient in Microsoft Office. A background in healthcare, non-profit, or hospice settings is considered an asset. A Criminal Record and Vulnerable Sector Check will be required prior to employment.
