Description

We are a growing bookkeeping firm that provides reliable, accurate, and confidential financial support to a variety of small to medium-sized businesses. Our friendly and professional team values organization, integrity, and efficiency. We're looking for a dependable Office Administrator to keep our operations running smoothly.

Position Overview:
As our Office Administrator, youll be the backbone of our daily operations. Youll manage administrative tasks, support the bookkeeping team, coordinate client communications, and ensure our office is organized and efficient. If you're detail-oriented, proactive, and enjoy working in a structured environment, wed love to meet you.

Key Responsibilities:
Manage phone calls, emails, and front desk reception
Schedule appointments and coordinate meetings
Maintain organized filing systems (digital and physical)
Handle incoming and outgoing mail and deliveries, as well as bank runs
Assist with data entry, invoicing and document preparation for bookkeeping staff
Track office supplies and manage orders
Support client onboarding and maintain client records

Requirements:
Strong organizational and time management skills
Excellent communication skills (written and verbal)
Proficiency in Microsoft Office Suite (Word, Excel and Outlook)
Comfortable learning bookkeeping and practice management software (QuickBooks, OpenInvoice)
Ability to handle sensitive information with confidentiality
Professional, friendly demeanor with a proactive attitude

Preferred but Not Required:
Experience in a bookkeeping, accounting, or financial services environment
