As an Executive Administrative Coordinator at Vale Industries, you will provide critical support to our senior leadership team, as well as Human Resources and our Finance Department, ensuring efficient operations across administrative, communication, and scheduling functions. In this role, you will serve as a trusted partner and uphold the values that drive our business People, Integrity, Safety, Quality, and Community. Your attention to detail, organizational skills, and discretion will support informed decision-making and foster a culture of excellence.
Duties and Responsibilities:
Administrative and Executive Support
- Coordinate activities to support management including Human Resources, Finance, Administration, and Production using discretion and good judgment
- Prioritize tasks between departments and managers as required
- Interpret situations independently and act in accordance with company policies and objectives
- Track key deadlines and coordinate responses to internal and external requests
- Prepare and edit report, presentations, correspondence, and other documents, ensuring clarity, accuracy, and professionalism
- Organize and support executive meetings, including preparing agendas, taking minutes, and following up on action items
- May be required to organize and assist with travel logistics of management or sales team, including scheduling meetings and calendar management
- Demonstrate excellent communication, both verbal and written
- Demonstrate above average organization and time management
