Description

RESPONSIBILITIES
Ideal candidate will ensure that Pioneer Co-ops administrative functions are run efficiently and professionally with adherence to confidentiality and Co-op Brand standards. Will be responsible for providing administrative support to CEO, Senior Management and internal departments by answering phones and greeting internal and external customers, prepare, review and perform complex and varied confidential administrative work under specific time constraints and deadlines. Will assist in creating of contracts and overseeing insurance claims. Will coordinate monthly Board meetings and Annual General Meeting including preparation of agenda, detailed reports and power point presentations. Responsible for booking of conference room and meeting facilities. Will register board of directors and management for conferences and meetings and arrange for travel and accommodation. Will send and distribute mail and faxes, order office supplies and oversee donations, maintenance of photocopier, fax machine and mail machine, filing, copying, and other office related duties.

REQUIREMENTS
Office Management Certificate with minimum two years office experience. Typing speed 60 W.P.M., proficient with MS Office Word, Excel, including mail merge and creating spreadsheets and charts, PowerPoint, Outlook and knowledge of office procedures and equipment. Excellent written, verbal and social communication skills with attention to detail, and demonstrated organization skills. Must be a team player, motivated and able to work independently and under pressure. Must be willing to coordinate time off around board schedule. Must portray a professional image.
