We are seeking a motivated, detail-oriented, and creative Administrative Assistant & Marketing Coordinator to join our team. This role blends administrative excellence with marketing support to ensure smooth day-to-day operations.
Administrative & Office Support
- Greet visitors and clients with professionalism
- Answer and direct incoming calls using proper phone etiquette
- Perform computerized data entry tasks accurately and efficiently
- Prepare, type, and distribute correspondence, reports, and other documents
- Utilize Microsoft Office for various office tasks
- Manage incoming/outgoing mail and email correspondence
- Monitor and order office and janitorial supplies
- Process, record, and handle payments, petty cash, and prepare bank deposits
- Maintain organized filing systems (electronic and physical)
- Schedule meetings, book rooms, and assist with event logistics as needed
- Support management and staff with administrative tasks and other duties as assigned
Marketing & Communications
- Assist with the creation and coordination of marketing materials such as posters, brochures, newsletters, and digital content
- Maintain and update the organizations website and social media accounts
- Develop and schedule engaging social media posts that highlight programs, events, and community impact
- Support event promotion and community outreach activities
- Work with the Leadership Team to ensure consistent messaging and branding across all communications
Qualifications
- 2-3 years of experience in administrative
- Must have previous marketing experience
- Strong organizational & multitasking abilities with keen attention to detail
- Proficiency with Microsoft Office (Word, Excel, Outlook, Publisher)
- Basic knowledge of design and marketing tools such as Canva, Adobe, and social media platforms
- Ability to work independently while supporting a collaborative team environment
