Description

Legislative/Council Administration
Prepare, distribute Council/Committee meeting agendas to comply with The Municipalities Act, Council Procedures Bylaw
Record, transcribe, & maintain Council/Committee meeting minutes with accuracy
Maintain official bylaws, resolution, & policy registers (execution & archiving)
Ensure the Towns records management practices comply with FOIP & internal policies
Support CAO & Mayor in ensuring adherence to legislative & procedural requirements
Administrative/Executive Support
Provide comprehensive & confidential administrative assistance to the CAO and Mayor (correspondence, scheduling, coordination of meetings/events)
Prepare professional correspondence, reports, & briefing notes for Council, administration, & external agencies
Coordinate Council appointments to boards, committees, & commissions, maintaining accurate records
Assist with preparation and publication of public notices, tenders, & advertisements
Maintain accurate/secure filing systems, records, & databases in accordance with Town retention schedules
Research, Communication, & Coordination
Conduct research for Council reports, policy development, & communications
Maintain current knowledge of municipal legislation, policies, & admin best practices
Support internal/external communications between CAO, Mayor, Council, & staff
Prepare briefing materials & communications for Council & public information
Confidentiality/Professional Conduct
Attend & support In-camera Council meetings (absolute confidentiality)
Adhere to the Towns Code of Conduct, Confidentiality Policy, and the Non-Disclosure Agreement
Exercise discretion, impartiality, & sound judgment when handling sensitive information
Demonstrate integrity, professionalism, & commitment to good governance
Other Duties
Coordinate Town events, receptions, & ceremonial functions as directed
Serve as Commissioner of Oaths
Aid front-line admin staff
Perform other related duties as assigned by the CAO
