Duties
Greet clients, visitors, and staff, ensuring a friendly and professional front-desk experience
Answer phone calls, respond to emails, and direct inquiries to appropriate team members
Manage scheduling, appointments, and calendar coordination for staff as needed
Organize and maintain office files, records, and documentation (digital and hard copy)
Assist with data entry, report preparation, and creation of basic documents or forms
Support staff with printing, scanning, photocopying, and preparing materials for programs or meetings
Maintain inventory of office supplies and place orders when necessary
Ensure the office environment is clean, organized, and well-stocked
Assist with coordinating meetings, staff events, and training sessions
Handle incoming and outgoing mail and deliveries
Provide general administrative support to management and program staff as required
Experience & Qualifications
Previous experience in an administrative, office assistant, or receptionist role is preferred
Strong communication skills with the ability to interact professionally with diverse populations
Excellent organizational and time-management skills
Ability to work independently and handle multiple tasks in a fast-paced environment
Proficiency in basic computer applications (Microsoft Office, email, data entry)
Attention to detail and accuracy in completing tasks
Friendly, reliable, and customer-service oriented
Ability to maintain confidentiality and handle sensitive information appropriately
