Description

Flying Dust First Nation is seeking a highly motivated and energetic professional with excellent interpersonal, organizational, and communication skills to join our team as an Executive Assistant. This role provides essential administrative and operational support to the Health Manager and Wellness Manager, ensuring smooth daily operations of the health and wellness departments. Key responsibilities include managing schedules, communications, departmental tasks, and coordinating activities while maintaining confidentiality and efficiency.
Job Duties & Responsibilities:
    Manage calendars, schedule meetings, appointments, and travel arrangements for the Health and Wellness Managers, including itineraries and expense reports.
    Prepare correspondence, reports, presentations, and other documents; draft and distribute communications, newsletters, or memos.
    Organize and maintain digital and physical filing systems, ensuring confidentiality and compliance with health and safety regulations.
    Assist in planning and executing health and wellness programs, events, workshops, and initiatives.
    Track project timelines, deliverables, and report progress to managers; collect, compile, and maintain program data.
    Coordinate with internal departments, external vendors, and serve as MLTC conduit for information and meetings.
    Screen calls, emails, and requests, prioritizing and responding as appropriate.
    Support logistics for health screenings, wellness campaigns, and department activities; manage supplies and inventory.
    Prepare draft reports, background documentation, and research; take and transcribe dictation notes as needed.
    Attend meetings with managers and senior management; present a professional image to visitors and stakeholders.
    Travel as required and perform other duties as assigned.
    Certificate/Diploma from a recognized institute and 35 years of office administration experience, preferably with First Nation background.
